Reigate Portal (Personal Information Portal)
Login to Access Personal Information.
The Portal gives you access to specific information relating to your young person, such as: Timetable, Attendance, Interim Reports, Independent Learning Plan (ILP), Exam Timetables and Exam Results. You will also be able to access booking and appointment options, and links for paying the College Deposit and Community Fund Donation.
How to Guides
Report an absence
All absences of a day or more should be logged on the College portal.
Please bookmark the College’s portal log in and securely save your password (to speed things up each time you use it).
Same day absences (e.g. illness)
- The College must be notified via the portal of all unplanned full day absences (e.g. as a result of illness), before 8:30am on the day of absence.
- See portal for specific guidelines.
Planned full-day absences (e.g. University visits)
- All full day planned absences should be recorded via the portal at least 5 working days before the absence.
- A maximum of 5 days per academic year can be used for university visits.
Short appointments of half a day or less (e.g. doctor’s or dental appointments)
The College should be notified of absences (such as doctor’s appointments) of half a day or less by emailing attendance@reigate.ac.uk ideally at least 5 working days before the absence.

Important Notes
- All absences are unauthorised unless verified by a parent or guardian with a valid reason.
- Automated emails are sent at around 6:00pm each day for any unauthorised absences. These emails list the missed lessons and are sent automatically, so they cannot be disabled individually.
- If an absence is reported after 2:00pm, an automated absence email may still be triggered. If this occurs please allow until 2:00pm the next working day and if the absence has not been updated by this time contact attendance@reigate.ac.uk.
- Attendance is recorded as either:
- Actual attendance – student is present at the session.
- Adjusted attendance – absence is verified and authorised by a parent/guardian.
- Holidays during term time are not permitted or authorised, and students are expected to attend all timetabled classes.
Make a payment
The College is in the process of updating its payment systems to make it as easy and convenient as possible for parents and students to make payments.
Payments are currently split into the following three areas:
- Pre-enrolment payments: The College Deposit and Community Fund payments should be made via the College’s portal.
- General payments while enrolled: While a student, payments should be made via the MyEVOLVE Shop, for things like trips and enrichment activities, Maths calculators, Art Studio Fees, Post Results Service (review of marking).You will need to set up an account to make payments. If you already have a MyEVOLVE account, you can log in via this link. Please note, you will be emailed a specific link to help you set up your MyEVOLVE account, once enrolled. Once logged in please navigate to “Shop” where you will be able to see all items available to purchase.
- Box Office payments: For ticketed events such as College Shows and Concerts, please book tickets via this link when event tickets are live. Event tickets will usually be made available 2-3 weeks before the event.
- Freshers’ Party: Tickets for the College’s Freshers’ Party in September can be purchased via Eventbrite and will be offered on a first-come, first-served basis. You will be asked to give your young person’s student ID when booking.
Box Office
Tickets for College shows, concerts and award ceremonies can be booked via the College Box Office
Please note that at certain times of the year there are no tickets available for sale.
Event tickets will usually be made available 2-3 weeks before the event.

Support and monitor – ILPs
The Independent Learning Plan (ILP) is an important tool that’s used to support and monitor each student’s academic progress and personal development during their time at College.
The ILP brings together feedback from subject teachers, tutors and the Pastoral Team to provide a clear and balanced overview of how a student is performing. The goal of ILPs is to encourage students to reflect on their learning, take ownership of their goals, and identify next steps for improvement.
Each ILP includes:
- What’s going well: A summary of strengths, achievements and positive progress.
- Areas for improvement: Constructive comments on where further effort or support may be needed.
- Support and attendance: Information on any academic or pastoral support provided, as well as attendance and punctuality data.
- Careers and progression: Updates on careers guidance, work experience and plans for after College.
- Student feedback and actions: Reflections from the student, including the goals they’ve set and the actions they plan to take.
ILPs are updated at key points in the academic year and are available to parents/guardians through the portal. They provide a valuable opportunity for families, students, and staff to work together to support continued progress and success.

Review academic progress
Half termly Interim Reports are recognised as being a vital part of the three-way partnership between students, staff and parents/ guardians. These can be accessed via the Portal.
- Interim Reports are published at the end of most half terms. Lower Sixth students receive 5 interim reports while Upper Sixth students receive 4.
- Academic progress is monitored through ‘Key Assessment Grades’ for all subjects. These are snapshots of the progress made during a half term reporting period, and can be based on assessments in class and/or coursework.
- A UCAS Predicted Grade is reported home at the end of the Lower Sixth (for A Level subjects) or the start of the second year (for non-A Level subjects).
- Subject teachers also monitor attitude and behaviour to learning, that are reported through the interim reports.
- Students are graded 4-1 (where 4 = Excellent, 3 = Good, 2 = Requires Improvement and 1 = Unacceptable) in three key areas: Independence, Class Ethics and Deadlines.
- Teachers will address any concerns with the student and if required, make an Independent Learning Plan entry on the Portal (see Support and Monitor).If a student does not respond positively to a concern being raised within a set time frame, a ‘Cause for Concern’ e-mail is sent to the student, and parents/guardians are copied in. Ongoing concerns are dealt with via the College Work Performance and Disciplinary Policy.
- Alongside progress data, actual attendance, adjusted attendance (absence authorised by a parent/guardian) and punctuality are provided for each reporting period.
Book a parent review meeting
Virtual Review Meetings are held in December at the end of the first term in both the Lower and Upper Sixth.
- Appointments take place via SchoolCloud, with students joining remotely from home.
- Appointment times are typically available to book between 9:00am and 7:30pm, with each meeting lasting 8 minutes.
- Students are expected to attend a virtual meeting for each subject they are taking and will therefore be required to book up to 3 or 4 meetings.
- For these meetings, the expectation is that a student books the meetings at a time that at least one parent or guardian is also available to participate.
How to book a parent review meeting
- Students will receive an email (to their College email) in advance of bookings opening, with their unique login information and a guide to making appointments (this includes information on how to add additional participants).
- A further email alert is sent when bookings open, which will be just before the meetings take place.
- Students are expected to consult with their parents/guardians and then select mutually suitable times for the meetings to take place.
The purpose of the meetings is to discuss the targets and strategies set for each student, that are designed to help them achieve the highest possible grades.
On the day of the meetings, students should be appropriately dressed, prepared to engage in discussion, and ideally set up in a quiet space.

Key College communications
The main form of communication between the College and students and parents/guardians is email.
Parents concerned about not having received College emails should email enquiries@reigate.ac.uk or phone 01737 221118 to check the College has your correct email details.

Personal correspondence is saved on the Portal and requires a login to access it.
All students and parents will be given information about how to access the Portal following enrolment.
