Definitions

  • Account means collectively the personal information, payment information and payment information that enables you to login via the website to access information and pay for certain services.

Age Restrictions

Persons under the age of 18 should use this Website only with the supervision of an adult.  Payment Information must be provided by or with the permission of an adult.

Availability of the Website

The Service is provided “as is” and on an “as available” basis.  We give no warranty that the Service will be free of defects and / or faults.  To the maximum extent permitted by the law we provide no warranties (express or implied) of fitness for a particular purpose, accuracy of information, compatibility and satisfactory quality.

The College accepts no liability for any disruption or non-availability of the Website resulting from external causes including, but not limited to, ISP equipment failure, host equipment failure, communications network failure, power failure, natural events, acts of war or legal restrictions and censorship.

Intellectual Property

All Content included on the website, unless uploaded by Users, including, but not limited to, text, graphics, logos, icons, images, sound clips, video clips, data compilations, page layout, underlying code and software is the property of the College or The Set Up. By continuing to use the Website you acknowledge that such material is protected by applicable United Kingdom and International intellectual property and other laws.

You may not reproduce, copy, distribute, store or in any other fashion re-use material from the Website unless otherwise indicated on the Website or unless given express written permission to do so by The Set Up or The College.

Use of communications facilities

When using the enquiry form or any other System on the Website you should do so in accordance with the following rules:

  • You must not submit Content that is unlawful or otherwise objectionable.  This includes, but is not limited to, Content that is abusive, threatening, harassing, defamatory, ageist, sexist or racist;
  • You must not submit Content that is intended to promote or incite violence;
  • It is advised that submissions are made using the English language as we may be unable to respond to enquiries submitted in any other languages;

  • You acknowledge that The College and The Set Up reserve the right to monitor any and all communications made to us or using our System.

On-line payment system – In-House

The Reigate College Personal Information Portal, accessed via the Reigate College Website gives parents and students the ability to purchase services on this website.

In order to do this you are required to use the Account provided to you.

i) Your Account

Your Account may contain certain personal details and payment Information which may vary based upon your use of the website.  We do not require payment information until you wish to make a purchase.  By continuing to use this website you represent and warrant that:

  • you accept responsibility for the information that you provide to the College
  • all information you submit is true, accurate, current and complete in all respects
  • you have permission to submit payment information where permission may be required
  • you do not use any payment card illegally or not issued to you

It is recommended that you do not share your Account details, particularly your username and password.  The College accepts no liability for any losses or damages incurred as a result of your Account details being shared by you.  If you use a shared computer, it is recommended that you do not save your Account details in your internet browser.

If you have reason to believe that your Account details have been obtained by another without consent, you should contact The College immediately to suspend your Account and cancel any unauthorised purchases that may be pending.  Please be aware that purchases can only be cancelled until they are dispatched or the service is taken.  In the event that an unauthorised purchase is dispatched or service is taken prior to your notifying us of the unauthorised nature of the purchase, The College accepts no liability or responsibility.

ii) Termination of your Account

  • Your Account is available whilst your child is a student at the College, and will be terminated when your child leaves. No notification will be sent to you.
  • Before your child leaves, either the College or you may terminate your Account.
    • If the College terminates your Account, you will be notified by email and an explanation for the termination will be provided.  Notwithstanding the foregoing, we reserve the right to terminate without giving reasons.
    • If the College terminates your Account, any current or pending purchases on your Account may be cancelled at the discretion of the College.
    • If you terminate your Account any non-dispatched purchases will be cancelled and you will be refunded any monies paid in relation to those purchases.

iii) Use of Agents

The College uses reputable agents to provide payment services on our behalf for the authorisation and settlement of credit and debit card transactions.  The College has no access to the card details provided by you.

iv) Services and pricing

  • Whilst every effort has been made to ensure that all graphical representations and descriptions of Services available from the College correspond to the actual Services, the College is not responsible for any variations from these descriptions
  • All pricing information on the Website is correct at the time of going online.  The College reserves the right to change prices from time to time and as necessary
  • In the event that prices are changed during the period between an order being placed for Services and the College processing that order and taking payment, you will be contacted prior to your order being processed with details of the new price

v) Cancellation and refunds

  • The College reserves the right to cancel purchases for any reason prior to processing payment and dispatch.
  • If purchases are cancelled by the College for any reason prior to dispatch, you will be refunded any monies paid in relation to those purchases.
  • If purchases are cancelled by you for any reason prior to dispatch, then at the discretion of the College, you will be refunded any monies paid in relation to those purchases less any applicable costs incurred by the College.

On-line payment system for adding funds to cashless cards – Externally Supported

The Student ID card also functions as a cashless card (the Card) which can be used to make purchases in the College Refectory and Shop. (Note the College Refectory and Shop will also accept payment via debit or credit card).

  • To add funds to a cashless card, you will need to be registered prior to use by visiting the website reigatecollege.mcr-symphony.net. Guidance on the registration process can be found here.
  • The Card can be topped up online, via the Reigate College Personal Information Portal, accessed via the Reigate College Website, using a credit or debit card. The College uses a payment gateway provided by Optomany for the authorisation and settlement of credit or debit card transactions. The College has no access to the card details provided by you.
  • The minimum top up amount is £1 and the maximum is £500
  • The pre-paid credit can only be redeemed in the College Refectory and Shop. The transaction total will be deducted from the balance on your account
  • Students are encouraged to spend the balance on their Card before they leave the College. If a refund of the remaining balance on the Card is requested, then a £5 administration fee may be charged by the College .

On-line payment system for tickets – Externally Supported

The links https://www.reigate.ac.uk/the-college/college-calendar/box-office, https://www.reigate.ac.uk/the-college/college-calendar/applicants-events and https://www.reigate.ac.uk/the-college/college-calendar/community-events give members of the public, parents and students the ability to purchase tickets for various events via this Website.

i) Use of Agents

The College uses a PayPal gateway to provide payment services on our behalf for the authorisation and settlement of credit and debit card transactions. The College has no access to the card details provided by you.  The PayPal gateway accepts most debit/credit cards.  You do not have to have a PayPal account in order for your transaction to be processed and you are under no obligation to open a PayPal account.

ii) Services and Pricing

  • Whilst every effort has been made to ensure that all graphical representations and descriptions of Services available from the College correspond to the actual Services, the College is not responsible for any variations from these descriptions.
  • All pricing information on the Website is correct at the time of going online. The College reserves the right to change prices from time to time and as necessary.
  • No discounts will be given unless the discount is already included in an advertised ticket price (e.g. Concession ticket).
  • Only staff and members of the College’s governing body are entitled to free tickets (and should select “staff ticket” at check-out).
  • In the event that prices are changed during the period between an order being placed for Services and the College processing that order and taking payment, you will be contacted prior to your order being processed with details of the new price.

iii) Delivery of tickets

Tickets are automatically emailed to recipients upon receipt of payment.

iv) Cancellations and Refunds

  • The College reserves the right to cancel purchases for any reason prior to processing payment and dispatch.
  • If purchases are cancelled by the College for any reason prior to dispatch, you will be refunded any monies paid in relation to those purchases.
  • All event tickets are non-refundable.
  • If you know in advance that you or other people in your party are unable to attend a particular event, you must notify collegeevents@reigate.ac.uk.

Limitation of Liability

  • To the maximum extent permitted by law, The College accepts no liability for any direct or indirect loss or damage, foreseeable or otherwise, including any indirect, consequential, special or exemplary damages arising from the use of the Website or any information contained therein. Users should be aware that they use the Website and its content at their own risk.
  • Nothing in these Terms and Conditions excludes or restricts The College liability for death or personal injury resulting from any negligence or fraud on the part of The College.
  • Nothing in these Terms and Conditions excludes or restricts The College liability for any direct or indirect loss or damage arising out of or out of reliance on incorrect information included on the Website.
  • Whilst every effort has been made to ensure that these Terms and Conditions adhere strictly with the relevant provisions of the Unfair Contract Terms Act 1977, in the event that any of these terms are found to be unlawful, invalid or otherwise unenforceable, that term is to be deemed severed from these terms and conditions and shall not affect the validity and enforceability of the remaining terms and conditions.  This term shall apply only within jurisdictions where a particular term is illegal.

Law and jurisdiction

These terms and conditions and the relationship between you and the College shall be governed by and construed in accordance with the Law of England and Wales and the College and you agree to submit to the exclusive jurisdiction of the Courts of England and Wales.

Privacy Policy

Personal information submitted to Reigate College through the Website will only be used within the College. It will never be supplied to anyone outside the College without first obtaining consent, unless we are obliged by law to disclose it. Personal data held on the Website will be kept securely and deleted within 10 working days once no longer needed for the purpose it was input.

Data Retention for Ticketed Events

Applicant Events
We use data collected through our College application process to contact students and parents/guardians about events which may help inform their course choices.

When booking a ticket to an event, we collect student and parent/guardian details including name, applicant number, address, email address, telephone number and previous school for cross-checking purposes.  Data will be retained for up to one year after each event.

Performing Arts
When purchasing Performing Arts event tickets, full billing address information is required, in addition to ticket holders’ names and sometimes student ID number.  This data will be stored for up to one year post event.

Internal Events
For FREE events attended by current students or their parents/guardians, only full names, student ID numbers and email addresses will be required.  This data will be retained for up to three months post event.


Reigate College is GDPR compliant when storing and using data for both its students and parents. GDPR is overseen by the Information Commissioner’s Office, the address is at the bottom of this statement. It is intended to give everyone more confidence in the security of data and reassure Reigate College users that the data is responsibly gathered, securely stored and fairly processed, and that all this is done to a high level of transparency and accountability.

The information Reigate College holds for parents includes your normal contact details: Name, address, e-mail, telephone numbers. For students we also hold additional data we require for your attendance on courses, and of course for your safety while at the College.

We undertake to store all contact information accurately and securely and to store and process it for your benefit as a parent or a student at the College.

You can ask us at any time to give you a copy of the contact details we keep for you and you can make any corrections.

When using the Personal Information Portal (PIP) and Payments as a parent you will be given an account for which you have to set your own password and this is not known to the College. Students and staff will be using their College network logins and passwords. Again, Reigate College does not have access to these passwords. You must not share your login details with any third party (including your son/daughter/young person).

When applying for event tickets through the College’s Website, the College holds only name and contact information that is pertinent to the tickets.  The College does not, any under circumstances, retain credit/debit card details as this information is processed by PayPal and is therefore never saved onto the College’s systems.  

The College’s cashless cards are provided by MCR Systems. The data that is collected by them is stored by one of their suppliers at a data centre located within the UK. They will take all steps reasonably necessary to ensure that your data is treated securely and in accordance with this Privacy Policy and the Data Protection Act 1998. Unfortunately, the transmission of information via the internet is not completely secure. Although best efforts are made to protect your personal data, we cannot guarantee the security of your data transmitted to the website; any transmission is at your own risk. Once the information has been received, the supplier will use strict procedures and security features to try to prevent unauthorised access or loss. 

Your information is confidential and will only be shared with our authorised personnel at Reigate College. We undertake not to share information with other organisations unless required for statutory or examination reasons.
